Job: We are seeking to appoint a permanent PA/EA to a full time position based on the outskirts of Cambridge

We are looking to recruit an experienced Personal Assistant / Executive Assistant with energy and enthusiasm to learn and develop, with excellent communication skills and a proactive approach to join this fun and effective global team.



The successful applicant will be able to;-

Provide a high quality, professional PA service to customers, which is aligned to business needs.

Provide a professional point of contact for the department and senior customers, both internally and externally and actively promotes effective global communication. Demonstrate the ability to respond to complex requests on behalf of customers and work independently with little or no day to day direction required. As such, takes a proactive approach to all PA accountabilities.

Contacts appropriately with customers and able to challenge appropriately and think strategically about the wider impact and implications of a task or activity.

Demonstrate in-depth understanding of the administration function and processes and continually look for ways to work more effectively.

Understand the need for on-going change and assist others in handling associated uncertainty.



Accountabilities/Responsibilities - Provide PA support to members of the Leadership Team - Work as part of a global administration team in the UK, Sweden and US. Actively collaborate with colleagues to support the department, working from a single global mailbox ensuring that customers needs are being met at all times - Use independent judgement to provide timely and effective administrative support and consistently manage own workload priorities-

Manage all aspects of local and overseas travel and expense reports- Co-ordinate internal and external meetings; in particular the Leadership Team meetings, face to face or videoconference, ensuring meetings run smoothly.

Take responsibility for co-ordinating meeting agenda, travel arrangements and meeting amenities- Privy to confidential information; demonstrates discretion at all times - Proactive involvement in the development and maintenance of processes and initiatives within the administration team, promoting best practice and playing an important role in improvement projects-

Develop personal expertise in systems used within the organisation - Manage department admin information, eg. organisation charts, resource management database and SharePoint sites The PA is also required to carry out any other reasonable requests as required by the company. Responsible for conducting work in accordance with local SHE requirements, ensuring compliance of local office standards.

Candidate Knowledge, Skills & Experience

Proven experience of providing full PA/administrative support to senior leaders

Excellent written and verbal communication skills

Significant experience of working in a customer orientated role

Ability to think beyond boundaries of own job, challenge status quo and seek opportunities for continuous improvement

Excellent team working, networking and influencing skills with ability to engage relevant staff and leaders at all levels, in developing solutions

Excellent organisational skills with an ability to prioritise workload, plan ahead and multi-task

Good time management, pro-activity, flexibility and attention to detail working to the highest standards of accuracy and presentation

Delivery and results focused

Assertiveness and strong personal resilience

Operation of standard office equipment and Microsoft packages

Numerate and accurate

High level of confidentiality and discretion



Preferred Background

Significant experience in a senior PA role gained through working in a variety of different functions

Relevant professional administrative qualification
