Vendor Account Manager and Import/Export Specialist

Ukraine, UA - Information Technology and Services

Vendor Account Manager and Import/Export Specialist is accountable for 3PL Partner Management and related logistics operations such as development, planning, execution, and management of various activities related to materials logistics, logistics coordination, shipping/receiving, distribution, storage of materials and cycle counting programs. He/She is also accountable for performing general and specific administrative support tasks involved with Order Management function for Ukraine operations, related to customs requirements for import/export process.



Primary responsibilities

Will include and will not be limited to:



Logistics

1. Liaison for 3PL Contract Management, (Clauses, KPIs, Rates analysis-benchmarking-negotiations, contract renewals, Change Requests).

2. Manages3PL partner making sure the partner performs according to the contract.

3. Responsible of Business Relations Management with local 3PL partner.

4. Be first point of contact in case of escalations.

5. Acts as1st level of escalation for logistics issues , proactively updating involving necessary parties

6. In charge of management of service provider with new project/process implementations bythe help of Logistics team.

7. Runsimprovement projects with 3PL and GSD SC team

8. Drivesperformance reviews with 3PL partner and regional 3PL program management.

9. Alignswith HP Regional 3PL Governance team.

10. Conductsregular review meetings with 3PL partner.

11. Preparesand attends (as necessary) to special 3PL audits and inventory counts.

12. Performsmonthly 3PL invoice checks & verification; creates BPOs, places accruals,follows payment, aligns with Internal Finance Process, conducts 3PL relatedcosts forecasting studies with Finance team.

13. Supervisesmassive operations management (such as relocation , purge , Stockmove/relocation, Sell Back , Scrap, Defective Exports )

14. MaintainsStock integrity (wall to wall, cycle count) E2E responsibility (includingarrangements, physical PI, reporting and systems transactions)

15. Preparesad-hoc country review report (including issues, accomplishments, and metricstrends.)

16. Documents,captures manages the country specific logistics process,

17. Follows3PL performance figures (KPIs and Scorecard), checks and verifies scorecardmitigations very closely, takes necessary actions to improve 3PL performance.

18. ConductsCost Reduction or Cost Avoidance studies; implements actions as necessary.





Import/Export

1. Supportsimport/export customs clearance process to/from the country (and potentially asbackup for other CEE/CIS countries which may require it)

2. Monitorimport/export flow, securing best possible lead times

3. Monitorlocal regulations (import/export) changes in the country

4. Identifyimport/export certification or permissions needs

5. Prepareimport/export documentation (invoice, letter to customs, etc.)

6. Pro-activelycommunicate issues

7. Interactwith HP local teams dealing with import/export activities: Customs Operations,International Transportation and Business Readiness

8. Interactwith the related Supply Chain parties (Planning, Material Exception)

9. Issuedaily import/export monitoring reports, according to local requirements

10. Monitorand act on in-transit orders



Qualifications
Education and Experience Required

- university studies (Logistics – are preferable) or equivalent experience

- knowledge of international trade import/export requirements in Ukraine (WWClass codes, customs procedures)

- 2+ years experience in supply chain logistics




Knowledge and Skills Required

- basic project management skills

- good communication skills (verbal and written)

- very good fluent English and Russian is a must (writing and verbal)

- team player, flexibility and adapts easily to changes

- customer service oriented ( previous experience is a plus)

- good organization skills, accuracy

- good MS office skills: Excel, Word, PowerPoint, Outlook
