The role is responsible for the handling of day to day administration support to the Indonesia GM and to Indonesia Executive staff. This will involve providing analytical and specialised administrative support, as well as the ongoing communication and engagement with Indonesian team to maintain/enhance customer satisfaction.

Description

You'll be responsible for managing the GM’ calendar and travel management, processing expense reports, and maintaining organised record keeping and strict confidentiality. You may be required to assist the GM with the creation of documents and presentation slides to support team planning, execution and overall efficiency.

This role is also responsible for co-ordinating and facilitating internal team meetings, offsite meetings (in consideration of the budget and expenses), distribution of agenda and tracking of actions and outcomes where appropriate. In addition, when required, you will assist in co-ordinating visits/meetings and activities between departments, regional/global visitors and outside parties.

This role also includes the responsibility to be the local HR representative, in coordination with HR staff in Singapore.

This is a dynamic and demanding role which require you to provide administration support to the broader Indonesian Team. This includes (but not limited to) areas like, providing assistance in areas of equipment orders, initiating purchase requests, working with Facilities, ordering office supplies, event planning, timely processing and follow-up of outstanding invoices and maintaining filing system.

The successful candidate must be able to demonstrate financial acumen and be comfortable working with spreadsheets and databases. As the role would require you to manage the expenses and travel budgets, preventing over expenditure and ensuring funds accounted for in line with Apple’s policies & procedures. You will also be responsible in ensuring timely processing of Expense claims, requisitions are being raised on time to prevent financial pre-commits, and ensuring vendors are paid on time within Apple’s policies and procedures.

You will also work closely with the broader administration teams in Singapore and Sydney, providing coverage when necessary for day-to-day tasks. This role will play a central role ensuring the sales team work effectively within region with and our global colleagues in Sydney, Cupertino and other locations.

Your day-to-day tasks will include:

Calendar, travel and expense management for country GM
Co-ordination and management of internal and external meetings
Production of documents and presentations
maintain weekly, monthly and quarterly dashboards and reports
Initiating and tracking purchase orders including for staff equipment
Coordination of office maintenance with outside vendors
Reception of internal and external guests
Organise telephone, mail and general filing for the Indonesian offic
