Job description
Responsible for performing tactical and strategic administrative support tasks for the Executive Chief of Staff and Global Head of Strategy & Planning of Global Business Services (GBS), Hewlett Packard. Responsibilities include performing various tasks in administrative support at this upper executive level. These tasks may include, but are not limited to, key records maintenance, compiling data for reports, administrative tasks associated with the budget process, scheduling executive appointments and meetings, calendar maintenance, answering/screening/routing emails and telephone calls, preparing expense reports, preparing/editing executive presentations, making travel arrangements, mentoring/leading the general administrative staff of the department/division, and other established general administrative requirements of the organization. Coordinates the administrative work within the department/division, working with other departments/divisions and companies. Ease with handling modern communications tools such as websites and using Video Camera, Camera, cell phone etc. The work performed is predominately administrative work that is largely tactical and strategic in nature. The successful candidate for this role will be someone with high levels of energy, enthusiasm and dedication towards work and high levels of comfort & openness to working hard & flexible hours due to global nature of business and a need to work & coordinate with global teams located in various time zones around the world. Applies extensive knowledge of the job skills, company policies and procedures to complete complex, specialized assignments/tasks in creative and effective ways. Comprehensive understanding of the general/technical aspects of the job. Works on assignments that may be complex in nature and require considerable judgment, initiative, and technical/specialized knowledge to resolve problems and/or develop recommended solutions. Work is completed with minimal supervision and assignments may be completed without established procedures. May determine methods and procedures for new assignments. Typically works with leaders under this executive’s organization as well as with other parts of the organization. Some/ minimal need for local/ international travel may be needed (less than 10% time).
Qualifications
Education and Experience Required:
High school education or equivalent; some college level education highly preferred. Typically requires a minimum of 4+ years general administrative experience, or equivalent combination of experience and college level education.
- Experience with & high level of expertise in using Microsoft applications such as Outlook, Power point and Excel. Ease of handling modern communication channels like websites, Sharepoints, Intranet, Blogs, Video Blogs, etc. and handling tools such as Video Camera, Camera, PDA, etc.
